Executive Assistant

The Executive Assistant will provide high-level administrative support to one or more members of the Executive staff and work with the Architecture team.

Responsibilities

  1. Provides high-level administrative support and assistance to the Executive and/or other assigned leadership staff.

  2. Exercises frequent independent judgment within agreed-upon limits.

  3. Performs office duties including maintaining email accounts of the executive while maintaining the confidentiality and preparing monthly expense reports for executives via Expensify.

  4. Performs clerical and administrative tasks including drafting emails, letters, memos, reports, and other documents for senior staff while maintaining confidentiality.

  5. Receives incoming communication on behalf of the executive, reviews contents to determine importance, and summarizes and/or distributes contents to appropriate staff.

  6. Arranges travel and accommodations for executives.

  7. Schedules and/or attends meetings on behalf of the executive, occasionally taking notes and recording minutes.

  8. Performs additional duties as assigned by executives.

Working Environment

This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and photocopiers.

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.

Experience

  1. Excellent verbal and written communication skills.

  2. Excellent organizational skills and attention to detail.

  3. Excellent time management skills with a proven ability to meet deadlines.

  4. Ability to function well in a high-paced and at times stressful environment.

  5. Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.

  6. Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.

Education

  1. High school diploma

  2. At least 3-5 years of related experience working with executive-level individuals

Preferred Education and Experience:

  1. Associate’s or bachelor’s degree in Business Administration or related field.

  2. 5+ years of experience of related experience working with executive-level individuals

  3. Experience working with executive-level individuals at a public company
